Data management, bills of materials & synchronisation
You receive the complete bill of materials for your plant – every item linked to its drawing and storage location – and always the current drawing revision: synchronised automatically through an encrypted tunnel, maintained by us. Old revisions move to the archive.
- ReleaseA new revision is released in Vault.
- Server handshakeThe servers identify each other.
- Encrypted tunnelThe drawings travel to you encrypted.
- Current & archiveNew into “current”, the old revision moves to the archive.
Design data is only as valuable as its organisation. Every file is versioned in Autodesk Vault, every revision is released before it leaves our office, and every drawing is assigned to its item in the bill of materials. We deliver exactly this organisation – not as a loose collection of files, but as the complete, linked data set of your plant.
The bill of materials is the table of contents: it shows the complete structure of the plant and takes you to the PDF drawing and the storage location of every item with one click. Synchronisation keeps this data set up to date on your side – no e-mail attachments and no outdated drawings in purchasing, manufacturing and assembly.
The bill of materials for your plant
You receive the bill of materials exactly as we create it and use it ourselves for purchasing, manufacturing and assembly – complete, structured and linked throughout.
- Complete: the entire plant with all assemblies, individual parts, standard parts and purchased parts.
- Structured: every assembly sits directly above its contents – you read the plant the way it is built in the 3D model.
- Linked: every item opens its PDF drawing and the storage location of its data with one click; 3D data is available alongside as STEP.
- Informative: with preview image, drawing number, description, revision and material.
- As structured and summary list: the structure for design and assembly, the totals for purchasing and procurement.
- Linked within the sync area: the links point straight into the synchronised data set – so everything stays where it is there. Only completed, exported projects are independent of their location: there the links keep working even after the package has been moved.
Synchronisation – how the revision reaches you
We set up and maintain the connection between our server and yours. You don’t have to trigger anything: whatever is released on our side is in your project folder shortly afterwards.
- ReleaseA new revision is checked and released in Vault.
- Server handshakeOur server and your server identify each other before any connection is established.
- Encrypted tunnelThe data travels to you exclusively through an encrypted tunnel.
- Current revisionThe new drawings are placed in the “current” folder – in the same structure as on our side.
- ArchiveThe superseded revision is not deleted but moves to the archive – it no longer sits in the normal folder structure.
On request the route also works in the other direction: your specifications, review notes and red-pen comments reach our designers directly by the same route.
Data set & archive
The data set includes everything that describes your plant: 3D models, drawings as PDF and DWG, neutral 3D data as STEP and the bill of materials that holds it all together.
Every superseded revision is kept – but only in the archive, no longer in the normal folder structure. The archive is organised exactly like the current data set: it stays traceable at all times which revision was valid when, and the data set only contains what is current.

Scope of services
Version control in Vault
Every file, every change, every revision – versioned and traceable. Release only after checking.
BOM for the entire plant
Structured and summary list of the complete plant with preview image, drawing number, description, revision and material.
Links to drawing & location
Every item opens its PDF drawing and the folder of its data in the synchronised data set with one click – for completed, exported projects even after the package has been moved.
Synchronisation via server handshake
Released revisions travel automatically through an encrypted tunnel into your project folder – set up and maintained by us.
Archive & revision history
Superseded revisions leave the normal folder structure and go to the archive instead of the bin – organised the same way, traceable at any time.
Formats for every department
PDF for manufacturing and assembly, DWG for layouts, STEP for further 3D processing, native CAD data on request.
How we work
- AgreementWhich data, which formats, which project folder – defined at the start of the project.
- Set-upWe set up the connection to your server: server handshake and encrypted tunnel.
- Design & versioningEvery change is versioned in Vault; the bill of materials is generated directly from the model.
- Release & synchronisationReleased revisions flow to you continuously, superseded ones move to the archive.
- HandoverAt the end of the project you have the complete data set with bill of materials and archive.
Tools
Data management in Autodesk Vault, bills of materials as Excel files with hyperlinks, drawings and 3D data in the common exchange formats.

What you get
- The complete bill of materials for your plant – as structured and summary list, linked throughout
- Drawings as PDF and DWG, 3D data as STEP or in native format
- Always the current, released revision in the “current” folder
- An archive with all superseded revisions – traceable which revision was valid when
- An encrypted connection set up and maintained by us
- At the end of the project, the complete data set of your plant
Frequently asked questions
How secure is the transfer?
Before any data flows, our server and your server identify each other (server handshake). Transfer takes place exclusively through an encrypted tunnel; the connection is set up and maintained by us.
What happens to old drawing revisions?
They are not deleted but move to the archive and are then no longer in the normal folder structure. The archive is organised exactly like the current data set – so it remains traceable which revision was valid when.
What does the bill of materials contain?
The complete plant: all assemblies, individual, standard and purchased parts with preview image, drawing number, description, revision and material. Every item is linked to its PDF drawing and storage location – exactly as we create and use the bill of materials ourselves.
Can we send feedback the same way?
Yes, on request in the other direction too: your specifications, review notes and red-pen comments reach our designers directly by the same route.
